Tutorial Presenter Instructions

Thank you very much for joining us as a tutorial presenter at the O'Reilly European Open Source Convention. We appreciate you for taking on the role of technical leader and instructor to the community.

The instructions that follow provide detailed information to help make your tutorial or conference presentation successful.

What To Do Next

  1. Register for the conference
    You must register to be confirmed as a speaker. You will receive a special speaker registration link by email that will allow you to complete a free speaker registration. When you register, we will ask you to:

    • Tell us your audio/video needs.
    • Tell us your dates of arrival and departure.
    • Agree to the speaker contract.
    • Select tutorials given by others that you would like to attend.

  2. Arrange travel and hotel reservations
    You indicate your dates of arrival and departure for the conference hotel when you complete speaker registration. O'Reilly will make a reservation for you at the conference hotel from this information, and will pay for one night per half-day tutorial class being presented.

    Tutorial presenters must make their own travel arrangements and will be reimbursed according to the travel allowance provided, depending on how far you are travelling to the event. Important Dates

We have set the following deadlines to make sure that the planning of the conference goes smoothly for presenters and participants. Please use this as a checklist so that you will have a handy reference guide to help you prepare for the event.

Please submit materials on or before the due dates!

July 7, 2005: Book your travel to the conference now. Early reservations mean that you get better flights and rates.

June 01 2005: Registration must be complete, which includes speaker contract and audio-visual information.

July 01 2005: Handout materials are due.

August 1-5, 2005: O'Reilly Open Source Convention. Please check in at the Speakers Lounge when you arrive on site. This will give you an opportunity to meet with the Speaker Manager, Vee McMillen; pick up your materials and any schedule changes; and meet with the audio-visual experts to make sure that your presentation will load and present correctly. You will be provided with a sign up sheet on site for scheduled times to meet with A/V. You will also receive:

  • One speaker badge.
  • Conference materials.
  • Conference schedule of events.
  • Your personal schedule of events, including any changes.

After the event

Please submit expense forms for reimbursement of covered travel/meals within 30 days after the event -- September 6, 2005.

Presentation File Guidelines

Presentation files: We can project files from your laptop (if you are able to arrive in time to have your machine synchronized with our equipment by our A/V techs) or from show computers available in the room. Our standard show computers are dual-boot Linux/Windows and support the following presentation file types:

  • Adobe PDF
  • HTML
  • Keynote
  • Microsoft PowerPoint
  • OpenOffice

The show computers are connected to the Internet, and wireless connectivity is available in the main public areas.

Hard-copy files for tutorial handouts

Whether you are using your presentation files as handouts or creating other files for hardcopy, consider how the handouts will print. For handouts from presentation files, you may want to set up a template for printed slides that is 2-up per page, has a minimum 1" gutter (for binding), and has running headers and footers with the name of the conference, name of the talk, and the page number.

To ensure that we are correctly reproducing the handouts, please provide a hard copy of your file to proof against. We will also use this file to copy from if we have difficulty with your electronic files (note that this applies to tutorials only; if you are also presenting a conference session talk, you do not need to send hard copy for those sessions, as we do not provide handouts for those).
